Who we are
Nasc Systems LLC ("Nasc," "we," "us," or "our") provides websites, AI receptionists, Google review systems, and a marketing and CRM platform for local businesses, operating from San Antonio, Texas. This Privacy Policy explains what information we collect through nascsystems.com and our platform, how we use it, and the choices you have. Questions any time: chris@nascsystems.com.
Information we collect
Information you give us
- Contact details: your name, business name, email address, the product you are interested in, and anything you write in the message box when you fill out our contact form, request a call, email us, or text us. If you use the chat widget on our site, we also collect the mobile number you enter and whether you ticked its box allowing us to text you.
- Business information: details about your company, your lead flow, and your goals that you share during calls and onboarding.
- Billing information: payment details are collected and processed by our payment processor. We do not store full card numbers on our systems.
Information collected automatically
- Usage data: pages visited, links clicked, browser type, device type, and approximate location derived from IP address, collected through cookies and similar technologies to keep the site working and understand what's useful.
- Communication records: when you call, text, or email us, we keep a record of the conversation so we can follow up properly. It's what we do.
Information we handle for our clients
When a business uses a Nasc product, their customer and lead data lives in their branded system. We process that data on our client's behalf and under their instructions. Our clients own their customer data. We do not sell it, mine it, or use it for our own marketing. What we handle depends on the product:
- Websites. Form submissions, click-to-call and click-to-text events, and online bookings made on a client's website, plus standard hosting logs (IP address, browser, pages visited) needed to keep the site running and secure.
- AI receptionist. The caller's phone number, the audio of the call, a written transcript, and any details the caller shares to get help or book an appointment (name, address, reason for calling). See Call recording and the AI receptionist below.
- Google review system. The names and mobile numbers of the client's customers so a review request can be sent after a completed job, visit, or sale; replies to those texts; opt-outs; and the public content of reviews posted to the client's Google Business Profile so the client can respond.
- Platform (CRM and follow-up). Leads, conversations, quotes, appointments, and job details the client records in their system.
If you are a customer of a business that uses Nasc, that business controls your data. Contact them directly to exercise your rights, and we will support their response.
Call recording and the AI receptionist
Businesses that use our AI receptionist have some or all of their calls answered by an automated assistant. The assistant identifies itself as automated at the start of the call, and calls it handles may be recorded and transcribed. By continuing the call after that notice, you consent to the recording. If you would rather not be recorded, hang up and reach the business another way, such as email or their website.
- Recordings and transcripts are used to take messages, book appointments, send the business a summary of the call, and improve the assistant's answers for that business. They are stored in the client's system and are available to the client.
- Call audio is processed by the telephony and AI providers that power the assistant, acting on our behalf and under contract, solely to deliver the service. We do not use call content to train models that serve other businesses.
- The assistant is not a substitute for emergency services. If a call is an emergency, dial 911.
- Recordings are kept for as long as the client needs them for their business records and then deleted on the client's instruction or at the end of the client relationship.
Text messaging (SMS) terms
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
- Consent. By providing your phone number and opting in (by ticking the optional text-consent box in the chat widget on our site, or by texting us first at (830) 453-5193), you agree to receive text messages from Nasc Systems LLC related to your inquiry, appointments, and services. Full program terms are in section 6b of our Terms. Consent is not a condition of purchase. If you give us your number without ticking the box, we will not text you; we will email or call instead.
- Message frequency varies based on your interaction with us. Message and data rates may apply.
- Opt out any time by replying STOP to any message. Reply HELP for help, or email chris@nascsystems.com.
- Texts sent by our clients. Review requests, appointment confirmations, and follow-up texts sent through a client's Nasc system come from that business, in its name, to its own customers. The business is the sender of record. The same STOP and HELP keywords work on those messages, and we honor every opt-out automatically across that business's system.
How we use information
- To respond to your inquiries and schedule and run your free audit call, quickly, because that's the whole point.
- To provide, set up, support, and improve the products and services you've purchased: building and hosting your website, answering and summarizing calls through the AI receptionist, sending review requests and posting replies on your behalf, and running your CRM and follow-up.
- To send appointment confirmations, reminders, service updates, and, with your consent, relevant offers.
- To bill for services, prevent fraud and abuse, and meet legal obligations.
How we share information
We do not sell your personal information. We share it only with:
- Service providers who help us run our products and this website, such as website hosting, communications delivery (calls, texts, email), the telephony and AI providers behind the voice receptionist and call transcription, scheduling, analytics, form handling, and payment processing, and who may use the information only to provide those services to us.
- Google, when a client uses the review system: the review link we send points to the client's Google Business Profile, and replies the client approves are posted there. Google's own privacy policy governs what Google collects.
- Legal and safety recipients, if required by law, subpoena, or to protect the rights, safety, or property of Nasc, our clients, or others.
- A successor business, if Nasc is ever merged or acquired, in which case this policy continues to apply to your information.
All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Cookies and analytics
We use essential cookies to make the site function and analytics cookies to understand how visitors use it. You can control cookies through your browser settings; blocking some cookies may affect how the site works. We do not use cookies to sell your data.
Data retention
We keep personal information only as long as we need it for the purposes above, typically for the life of our relationship plus a reasonable period for legal, tax, and record-keeping purposes, and then delete or de-identify it.
Security
We use reasonable administrative, technical, and physical safeguards to protect your information, including access controls and encryption in transit. No system is perfectly secure, so we cannot guarantee absolute security, but we take this seriously and expect the same of every provider we work with.
Your rights and choices
- You can request access to, correction of, or deletion of your personal information by emailing chris@nascsystems.com. We'll respond within a reasonable time and honor applicable state privacy law, including Texas law.
- You can opt out of marketing emails using the unsubscribe link in any message, and out of texts by replying STOP.
- If you are a customer of one of our clients, your data is controlled by that business. Contact them directly, and we'll support their response. This includes requests to delete a call recording or to stop receiving review requests.
Children
Our website and services are for businesses and are not directed to children under 13. We do not knowingly collect personal information from children.
Changes to this policy
If we make material changes, we'll update the effective date at the top of this page and, where appropriate, notify active clients directly. Continued use of the site or services after changes means you accept the updated policy.
